Customize Your "Acceptance" Letter to Artists!

The canned letter we provide you to use as your "Acceptance Letter" is a start – and that what it's meant for.  But you'll want to distinguish your site from the others by customizing your A-letter : )

Of the 5,000+ stations and webzines that receive our artist submissions, many of them use the A-letter exactly as is, without ever editing the letter to reflect uniqueness of their sites.   While artists are always happy to receive an "acceptance" from a site, the content within the letter is also important.

Keep in mind, most of our artists are submitted to 400 + sites in our network.   Good artists can receive 50 or more A-letters over the course of a 3-4 week promotional campaign.   Put yourself in the shoes of an artist:  if every letter you received from a station sounded familiar, how excited would you be?  You'd probably think the reviewer barely even listened to your music.  You might even be reluctant to send a CD or press kit if asked.

Here are some tips on what to say in your letter. 

• Talk about how long you've been broadcasting.
• Add your name – artists are people, too, and everyone wants to deal with a real-life person : 0
• Don't worry –the Rejected artists won't find out who you are!
• Throw around names of artists you recently played or reviewed – always impressive to other artists
• Are you affiliated with a college…?...add your school's name, artists love college radio : )
• Be honest – you don't have to promise a review or airplay, and artists aren't looking for promises.  Let them know you liked what you heard so far – and you want to hear more!

Last thing, when you click "Yes" to send your Acceptance Letter to the artist, the email is generated from your email address.  When an artist receives it, he/she can hit "reply" to get right back to you!
